Why meeting notes don't get written
- Back-to-back calls. The next meeting starts before you have written up the last one. By the end of the day, the details have blurred.
- Typing while listening is hard. Notes taken during a call are fragments: half sentences, arrows, initials. Turning them into something readable is a second job.
- Full recordings are too much. A word-for-word transcript of an hour-long call is long, and someone still has to pull out the decisions.
- Follow-ups need a different format. The same meeting needs notes for you, a summary for the team and an email to the client.
A spoken recap solves the gap. You already know what mattered. Saying it takes a couple of minutes, and you skip the transcript you would never read.
How to turn meeting notes into text in 3 steps
- Open the place your notes live. A Notion page, a Google Doc, a Word file, a ticket, or SayDart's own local notes. Put your cursor where the recap should go.
- Press your voice shortcut and speak the recap. Right Alt on Windows, Right Option on macOS, Left Ctrl + Left Alt + Space on Linux. Use a simple structure, out loud: "Decisions:" what was agreed; "Action items:" who does what, by when; "Open questions:" what is still unresolved; "Summary:" two sentences for anyone who missed the call.
- Review and share. SayDart inserts the text. Fix any names, add headings if you like, and share the notes or paste the summary into an email or chat.
Tip: record each section separately. Four short dictations are easier to check than one long one.
SayDart features for post-meeting notes — Transcript preview and cleanup
The capsule previews what SayDart heard while you speak. Cleanup removes filler words and tidies punctuation, so "so, um, basically we agreed..." reads as a clear decision. Choose Original in Style > Cleanup when you want your words as spoken.
SayDart features for post-meeting notes — Dictionary for client and project names
Meeting notes are full of names: clients, colleagues, product names, project code names. Add them to your Dictionary once, so SayDart writes them your way on every computer you sign in to.
SayDart features for post-meeting notes — Local notes with version history
SayDart has its own Notes too: autosave, tabs, checklists and tables, and up to 50 saved versions per note, all on your computer.
SayDart features for post-meeting notes — Voice translation for multilingual teams
Say the recap in Chinese and send it to the team in English, or pick from 303 target languages and variants.
SayDart features for post-meeting notes — AI assistant for a second pass
Select your dictated recap and discuss it with the SayDart AI assistant in a separate conversation, for example to ask which action items are missing an owner.
SayDart features for post-meeting notes — History
Every dictation stays in History on your computer, with the original transcript and saved result versions, in case you need to rebuild the notes later.
Example: a five-minute recap
You say, section by section:
"Decisions: we're launching the new help center on the 28th, with the video tutorials as a follow-up. Action items: Priya finishes the articles by Wednesday, Tom checks the search page by Thursday. Open questions: do we need a separate section for admins? Summary: launch is on track, articles and search are the last two blockers."
That becomes a structured note you can paste into the project page. If your team works in Notion, see voice typing for Notion. To send the summary to a client, use email drafting by voice.
